Overview

The Vendor Admin Services Team is responsible for providing excellent customer service to intenal stakeholders and external vendors. The primary team function is to engage with vendors by phone or e-mail to gather information, such as completed forms W-9, needed to complete their vendor profile. The Vendor Admin Coordinator communicates with vendors and performs routine but varied clerical and support duties in support of the primary team function in a dynamic, fast-paced environment.

Geo-Salary Information

State specific pay scales for this role are as follows:

 

$31,574 to $55,318  (CA, NJ, NY, WA, HI, AK, MD, CT, RI, MA)

$28,703 to $50,289 (NV, OR, AZ, CO, WY, TX, ND, MN, MO, IL, WI, FL, GA, MI, OH, VA, PA, DE, VT, NH, ME)

$25,833 to $45,260  (UT, ID, MT, NM, SD, NE, KS, OK, IA, AR, LA, MS, AL, TN, KY, IN, SC, NC, WV)

 

The expected base salary for this position will vary depending on a number of factors, including relevant experience, skills and location.

Responsibilities

The Coordinator is essential to reach the Vendor Admin Services Team production goals, which include:

 

  • Completing missing vendor onboarding information in Guidewire and other systems
  • Collecting vendors’ W-9 forms
  • Running reports and vendor verification matches in the system
  • Provide excellent customer service to Mercury vendors and internal stakeholders

 

  • Daily, the Coordinator directly communicates by telephone or email, with vendors to obtain missing vendor information, such as forms W-9.  Once vendor information is gathered, the Coordinator updates vendor profiles within Mercury’s systems, such as Contact Manager and Flexi. 

 

  • Along with other Coordinators, the Coordinator reviews the department’s shared inbox daily for incoming mail and distributes mail appropriately amongst the team to ensure timely responses to our vendors and internal stakeholders.

 

  • Other duties and projects may be assigned as needed. 
  • Must be be able to align with work hours Monday - Friday 8am-4:45pm PST

Qualifications

Education

  • Completion of High School education

 

Experience

  • A minimum of 1 year general office or related experience

 

Skills & Abilities

 

Minimum:

  • Excellent written and verbal communication skills. Must be able to communicate professionally.
  • Ability to manage inbound calls in a timely manner, while maintaining a positive, empathetic, and professional demeanor towards customers at all times.
  • Ability to engage in active listening with customers, confirming or clarifying information and addressing customer concerns as needed.

Preferred:

  • Insurance industry experience preferred
