The ideal candidate will reside within 30 miles of West Covina, CA or Brea, CA. This is a remote role but does require close proximity to one of our offices for training and occasional office hours.

 

Position Summary:

 

 

The Admin Assistant is part of Mercury’s In-House Legal Department. Must be detail-orientated with strong organizational and time management skills to proactively assist with the smooth operation of our legal team, supporting attorneys and legal professionals in managing legal files, reporting and administrative coordination. Some responsibilities include open, maintain and close legal files in accordance with departmental procedures, preparing and distributing accurate monthly reports to legal team members and executive leadership, extensive data entry, work closely with fellow admin and legal team members to ensure timely and efficient support across the department and assist with special projects and administrative tasks as directed by legal leadership. Strong attention to detail, commitment to data accuracy, proficiency in Microsoft Office Suite and case management system is essential in this role.

Under general supervision, the primary job function of the Administrative Assistant is to work independently and collaboratively in a fast-paced environment to provide administrative support across the legal department.

 

 

Responsibilities

Essential Job Functions:

  • Shares support of the department and its vendors for clerical activities such as facilities and desktop changes, security access to systems and buildings, team member onboarding, and meeting coordination, including off-site events.
  • Processes, records, and maintains documents and files per departmental and Company requirements.
  • Maintains management’s calendars and support their daily work schedule.
  • Arranges travel plans and reservations for staff, including expense tracking, reporting, mileage, and travel profiles.
  • Answers and transcribes calls to department staff from internal and external business management.
  • Responds to and resolves external and internal customer inquiries, complaints, and related issues.

 

Qualifications

Education:

Completion of a high school diploma or equivalent (G.E.D) and may include specialized or vocational coursework.
Bachelor’s degree preferred.

Minimum of one (1) year working experience in an administrative role for a large or mid-size company.
Working experience using common office equipment, i.e. printer, scanner, fax machine, etc.
Prior work experience in an insurance environment preferred.

Pay Range

USD $39,531.00 - USD $69,051.00 /Yr.
