Overview

Under general supervision, performs routine but varied clerical and support duties according to standard procedures. Works closely with legal teams to assist in clerical support duties.  Performs general clerical duties, which may require on-site attendance, such as drop filing, pulling closed files for submission to storage, scanning, answer phones, subpoenaing records, updating case management software, managing anywhere from 200-400 emails daily in the service and subpoena box, linking and keeping current CMS by properly recording subpoena dates for records/films ordered, received and available for downloading.   Assist in the downloading of the claims file in the case management software and any other support tasks as directed by assignment.

Responsibilities

Essential Job Functions:

 

Clerical Support:

  • Order medical records, record status follow-up and downloads, filing, file closings, downloads of new files, e-filings, timely forwarding, linking and addressing legal office mailboxes.
  • Timely process incoming and time sensitive emails in legal mailboxes; accurately calendaring all appearances via mailbox or team member emails in the legal master calendar.
  • Answering and addressing inquiries from customers; transferring phone calls, accurately routing, scanning, calendaring and distributing incoming mail; timely processing litigation invoices and legal office expenses for payment, including but not limited to, tracking to completion of payment.
  • Timely managing assigned mailboxes; assists other support team members during absences, as workload dictates and/or at supervisors' direction.
  • Assembles documents, including necessary transmittal forms, in accepted office format pursuant to court rules for timely filing, submission to courts and service on others as appropriate; safeguards information, documents and files from loss or unauthorized disclosure.  Properly gatekeeps sensitive material.     
  • Case Management Software:  Maintain legal file by updating and keeping current with new information received; Timely and accurately linking documents; properly renaming all incoming mail and proper storage in appropriate folder.
  • Routinely updating tabs for medical records and tasks associated with mail received and saved to system; accurately and timely download of claims file.
  • On an as needed basis, in person assistance in the legal file from closing files, drop filing and boxing files for storage.

 

 

Qualifications

Education:

  • Minimum: High School diploma or GED equivalent.
  • Preferred: Associates degree or higher-level education

Experience:

  • Minimum: 6-months general office experience or experience in the team environment as a clerical support.
  • Preferred: Experience in a professional office supporting a team or group of individuals. 

Knowledge and Skills:

  • Minimum: Requires attention to detail, ability to work independently and as part of a team's setting.  Ability to work in a paperless environment and be familiar with computer systems.  Able to file and retrieve items and possess knowledge of proper office procedures; general knowledge of department procedures and operations to prepare, process and complete assignments appropriately and maintain records.  Ability to follow specific instructions and perform routine tasks in an efficient and accurate manner and perform tasks with minimum production standards.  Must be able to work as part of a team in a cooperative fashion.                                                                                                                       
  • Preferred: Ability to proactively address issues; ability to think outside the box to ensure completion of assignment.  Ability to handle a faced paced environment addressing over 400+ emails daily.

Pay Range

USD $29,648.00 - USD $47,360.00 /Yr.
